Terms of Service

By creating a ChurchLinker account or using the ChurchLinker service, you agree to these Terms of Service and our Privacy Policy. If you're signing up on behalf of a church or organisation, you confirm you have authority to bind that organisation to these terms.

If you don't agree with these terms, please don't use ChurchLinker. If you have any questions before signing up, email us at hello@churchlinker.com. We're happy to clarify anything.

ChurchLinker provides cloud-based church management software accessible via web browser and mobile app. The service includes, depending on your plan: people management, online giving, rota scheduling, event management, group management, communication tools, sermon library, children's check-in and AI-powered features.

We reserve the right to modify, suspend or discontinue any aspect of the service at any time, though we will give reasonable notice for material changes that affect your use of the service. We will always give at least 30 days' notice of discontinuation of the service as a whole.

The service is intended for use by churches and religious organisations in the United Kingdom and other jurisdictions where English church management software is appropriate. We make no warranty that the service meets the legal requirements of any specific jurisdiction outside the UK.

You are responsible for keeping your account credentials secure and for all activity that occurs under your account. Please use a strong password and enable two-factor authentication (available in account settings).

You must notify us immediately at support@churchlinker.com if you believe your account has been compromised.

Each church has one primary administrator account. You may invite additional users at no extra cost. Each user must be an individual person; shared login credentials are not permitted.

You must provide accurate information when creating your account and keep it up to date. Accounts created with false information may be suspended without notice.

You retain full ownership of all data you enter into ChurchLinker. We process your data only to provide the service, as described in our Privacy Policy and Data Processing Agreement.

You grant ChurchLinker a limited licence to store, process and display your data as necessary to provide the service. This licence ends when you cancel your account, at which point we delete your data as described in our Privacy Policy.

You are responsible for ensuring you have the right to collect and enter any personal data into ChurchLinker, and that doing so complies with applicable law (including UK GDPR). You must not enter into ChurchLinker any data that you are not legally permitted to process.

We will keep your data safe and will not share it with third parties except as described in our Privacy Policy and DPA.

You agree to use ChurchLinker only for lawful purposes and in ways consistent with its intended use as church management software. You must not:

- Use ChurchLinker for any unlawful purpose, including processing data without the necessary legal basis - Use ChurchLinker to send unsolicited communications (spam) - Attempt to gain unauthorised access to any part of the ChurchLinker service or another church's data - Use ChurchLinker in any way that could damage, disable or impair the service - Reverse engineer, decompile or attempt to extract the source code of the ChurchLinker service - Re-sell or sub-licence the ChurchLinker service to third parties without our written consent

We reserve the right to suspend or terminate accounts that violate these terms without notice.

Paid plans are billed monthly or annually, in advance, via Stripe. By providing payment details, you authorise us to charge your card on the billing cycle you've chosen.

If a payment fails, we'll retry automatically and notify you by email. If payment remains outstanding for 14 days, your account may be downgraded to the free Seed plan. Your data is never deleted due to non-payment. We'll always give you the opportunity to update your payment details and restore your plan.

Plan prices may change. We'll give you at least 30 days' notice of any price changes, and the new price will take effect at your next renewal.

All prices are exclusive of VAT. ChurchLinker charges VAT at the prevailing UK rate where applicable.

You can cancel your ChurchLinker account at any time from Settings → Billing. Your account remains active until the end of the current billing period; we do not offer pro-rated refunds for partial periods.

After cancellation, your data is available for export for 90 days, after which it is permanently and securely deleted.

We may terminate your account immediately if you materially breach these terms (particularly in relation to illegal activity or abusive use). In all other cases, we'll give you 30 days' notice before terminating.

ChurchLinker is provided "as is". While we work hard to ensure reliability and security, we cannot guarantee the service will be available at all times or free from errors.

To the maximum extent permitted by law, ChurchLinker's total liability to you for any claim arising from these terms or your use of the service is limited to the amount you've paid to ChurchLinker in the 12 months preceding the claim.

ChurchLinker is not liable for: loss of data (though we take extensive precautions to prevent this), lost profits or revenue, indirect or consequential losses, or losses arising from your failure to comply with UK GDPR or other applicable law.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.

These terms are governed by the laws of England and Wales. Any disputes arising from these terms or your use of ChurchLinker will be subject to the exclusive jurisdiction of the courts of England and Wales.

If any part of these terms is found to be unenforceable, the remaining parts continue to apply.

We may update these terms from time to time. We'll notify you of material changes by email at least 30 days before they take effect. Continued use of ChurchLinker after that date constitutes acceptance of the new terms.
