Upgrade mid-cycle
Takes effect immediately. Your new contact limit, features and AI credits switch within seconds. Stripe charges a prorated invoice for the rest of the cycle, then bills the full new rate at next renewal.
Downgrade mid-cycle
Also takes effect immediately. Stripe credits the unused portion of your higher plan against your next invoice. Existing contacts and data stay readable; only new writes are paused if you're over the lower tier's cap.
Cancel
You keep full access through to the end of the period you've already paid for, then drop back to the free Seed plan. Your church data stays. You can come back to a paid tier any time.
The bit nobody else says clearly
Your church's data is never deleted when you change tier. Downgrade with 800 contacts to a plan that caps at 500? All 800 stay in your directory and remain visible. You just can't add the 801st until you upgrade or archive some. The same goes for giving records, events, groups, sermons and rotas. Nothing is purged.

AI is optional throughout. Every AI feature is off by default and admin-controlled. Your church can run ChurchLinker entirely without AI if you prefer. Within the Kids Ministry Hub, a separate toggle keeps the AI-driven generators distinct from the algorithmic ones (word search, crossword, memory verse, certificate and story-order cards), so you can ship those without ever switching AI on. Credits are spent only when staff actively use an AI feature. Top up any time, or bring your own API key for unlimited usage on any plan.
SMS & WhatsApp allowances reset monthly. Exceeding the allowance is permitted via Twilio top-up packs on every paid plan; Thrive and above support bringing your own Twilio account for no platform-side cap.

Is the free Seed plan really free, with no time limit?▾
Yes, properly free. Seed is permanently free for churches up to 50 contacts, with no trial countdown and no card required up front. You'll be nudged to upgrade only when you naturally outgrow it. We'd much rather you grow into Sprout and tell your church friends about us than get tricked into a paid plan you didn't really want.
How does annual billing work for UK churches?▾
Choose annual billing at checkout and you pay for 10 months. Two months come free, which works out at roughly 16% off. Annual plans renew automatically each year, and you can flip between monthly and annual at any point from your billing settings.
Are there any hidden fees on the church management software side?▾
No hidden fees, honestly. All plan prices exclude VAT at 20%, which is added at checkout because we're required to. ChurchLinker takes 0% on your giving, donations land in your church's own Stripe account, not ours. Stripe's standard UK card rate (around 1.5% + 25p at the time of writing, see stripe.com/gb/pricing for the current rate) applies directly to them, and 100% of every Gift Aid reclaim lands with your church.
Can we switch plans whenever the church size changes?▾
Yes, easily. Upgrades take effect straight away. Downgrades kick in at your next renewal date so nobody loses access mid-month. If a quieter season hits, just step down a tier, and step back up later when things pick up.
What happens to our church data if we cancel?▾
Your data stays available for export for 90 days after cancellation, then gets permanently deleted from our systems. We never lock churches out of their own data. Exports are clean, complete and ready to import elsewhere if that's what your church decides to do.
Do you offer discounts for smaller or financially stretched UK churches?▾
We try to keep church management software pricing as accessible as possible, which is exactly why Seed is genuinely complete rather than a stripped-back demo. If your church is in a particularly tough financial position, please get in touch directly and we'll have a real conversation, not a sales one.
Do members or visitors get charged anything to use the app?▾
Never. Members and visitors download the ChurchLinker mobile app for free, on iOS and Android, and use every member-facing feature at no cost to them. The church pays for the plan, members use the tool. That's it.
